Export Documents for Fresh Produce from India

Most delays with fresh produce happen on paper, not on the road. This checklist explains the documents that usually travel with a shipment from India, who prepares each one, and what you should confirm at your end before the goods leave.

Documents the exporter prepares

For a typical shipment of fresh produce or spices from India, expect:

  • Commercial invoice — product, quantity, unit price, total value, Incoterm and payment terms.
  • Packing list — cartons or bags per product, net and gross weights, and marks on the packages.
  • Bill of lading (sea) or air waybill (air) — issued by the shipping line or airline, and used to collect the goods.
  • Certificate of origin — confirms the goods are of Indian origin. Some trade agreements need a specific preferential form to claim lower duty.
  • Phytosanitary certificate — issued by India's national plant protection organisation after inspection, confirming the consignment meets the importing country's plant-health requirements.

Documents that depend on the deal or destination

Depending on the Incoterm, product and country, you may also need:

  • Insurance certificate — when the exporter arranges insurance (for example under CIF).
  • Laboratory or residue test reports — some buyers and markets ask for pesticide residue or quality tests on specific products.
  • An import permit or registration on your side — issued by your own authorities, not by the exporter.

What to confirm before shipping

Requirements differ by country and by product, and they change. Before the first order, ask your customs broker or plant-health authority for the current list for each item, and share it with the exporter so the documents match exactly — names, weights and descriptions should be identical across invoice, packing list and certificates.

For fresh produce, ask for scanned copies of the documents as soon as the goods are dispatched, so your broker can prepare clearance before the shipment lands.
